How to give viewing from Google Drive. How to share a folder or file on Google Drive! Voice input of documents

Many computer and Internet users know about the existence of the Google Drive service, which is cloud storage. When working with various files and folders in Google Drive, you may need such a convenient feature as providing access to this data to some other users. Once they have access from you, they will be able to view them or even edit and delete them, depending on what rights you grant them.

In this article I will show you how to set up access to any files and folders on Google Drive.

Providing access is indeed a very convenient and necessary thing. For example, now I don’t even really imagine what I would replace such an opportunity on Google Drive in my work. It so happened that this particular storage facility became for me the main one for the convenience of working primarily with documents.

For example, I can write some material (an article) and quickly transfer the rights to edit it to a friend, colleague, or anyone, if some kind of adjustment is implied on the part of this person. Yes, even if you just need to read, you gave the person access to read and all that! Moreover, you can work with this document simultaneously; one and the other user will see changes in information in real time both on their part and on the part of the 2nd user. Very cool!

We provide access to the required files/folders in Google Drive

First of all, you need to go to your Google Drive. Below is a direct link to go to the root folder of your disk:

Next, select one or more items that you want to share, right-click and select “Share”. Or, having selected the elements, click the corresponding button on the toolbar.

For convenience, I will call both files and folders elements.

There are 2 ways to provide access:

  1. Give access to specific Google accounts.

That is, you specify the Google (Gmail) email of the desired users who will receive the access you need to the selected elements.

  2. Enable link access.

In this case, you will receive a link to the selected items. This link can be given to any person who does not even have a Google account, and using it they will still be able to open the necessary information or edit it (depending on what rights you give).

The access itself can be of 3 types:

  1. With the ability for users with access to only view items;
  2. With the ability to leave comments on elements;
  3. With the ability to edit.

Now let's take a closer look at how to use the 2 above access options.

Access to selected Google accounts

After the access window opens, indicate in the top line one or more email addresses of the Google users to whom you want to grant access. The button allows you to select the type of access (editing, viewing or commenting). In the text area, you can write a message that will be added to an email to all those to whom you grant access (if you do not specify a message, then users will simply receive an email notification about granting access). To open access, click “Submit”.

That's it, access has been granted and the users you specified will now be able to work with the elements you specified.

When granting access, you can also indicate users who do not have a Google account in the top line. For example, you can indicate someone's address on Yandex. But in this case, this user, regardless of the settings you specify, will be able to open the file only for viewing, and in order to edit it, he will need to log in to his Google account anyway (if it doesn’t exist, then you need to create it).

This was a simple way of providing access, but there is also an expanded one, with some additional features. To enable it, click “Advanced” in the access window.

In advanced settings you can:

  • Enable/disable notification (by email) to users that they have been granted access (“Notify users” option).
  • Enable/disable sending yourself a copy of the notification letter for users who are granted access (“Send me a copy” option).

The “Insert item in message” option is only available if you share a document (not an image, video, or other file). It allows you to add to the same email notification the text of the document to which access is provided.

  • Allow or prohibit editors, like you, from adding other users and changing access settings (that’s what the option is called).
  • Allow or block those with commenting or reading access from downloading, printing and copying files (the option has the same name).

How to change the access type or remove a user who has been granted access

If you need to change the access rights of a user or completely remove a user from the list of those who have been granted access, go to the advanced access settings and there you can click on the button with the access icon to edit the rights, and by clicking on the cross you can delete the user.

Access via link

In order to enable access via a link, which you can then pass to any user and he will be able to view/edit the element using it, right-click on the selected element and select “Enable access via link”, or click the button.

Access via the link will be included, but initially only for viewing! A link will appear in the window, which you can send to any person and using it they will be able to open and see the desired file or folder contents. To provide the ability to edit an item that you have shared via a link, click “Access Settings”.

In the window at the top you can change the access type, for example, enable “Edit”.

To save the changes, click “Done”.

How everything happens on the side of users who have gained access

When a user accesses any items from you, they will be able to see them in their Google Drive in the “Shared with me” section.

If access was provided using a Google account (i.e. using the first method described above) and the notification was not disabled, the user will receive an email notification that access has been granted to him:

Directly through this letter, by clicking on a button, the user can immediately go to the desired element.

Conclusion

The ability to provide access to files and folders through Google Drive is an indispensable thing, especially when collaborating on documents. Now I can’t even imagine my work in a team without the ability to provide access to certain elements and edit them together. This greatly simplifies the workflow for any team!

Hello, dear readers of the blog site. Today I want to continue cloud storage topic(file hosting), which allow you not to carry flash drives and other media with you, but still have access to the necessary data at home, at work and on the road (from a computer, tablet or smartphone).

Our today's hero (guinea pig) will be Google Drive, which appeared one of the last among the major players in this market (if you do not take it into account), but nevertheless has in its arsenal unique capabilities that allow it to gain some competitive advantages.

Features of Google Drive and why it is so remarkable

Before I start talking about this cloud service for storing various important and not so important data, I’ll just say a couple of phrases about competitors, of which there are quite a few:

  1. — seduces with its ability to work with office documents (sharing, working through an online interface). It also has the ability, unique for this type of service, to gain remote access to the contents of your computer from the Internet (not just the OneDrive folder, but the entire contents of the computer’s hard drives). The free plan gives you 7 GB of disk space in the cloud.
  2. - appeared historically first in this market, and in addition to the wonderful ability to roll back to a previous version of a file (in a free account, the history of changes is stored only for the last month) has a convenient (familiar) interface and is supported by a bunch of mobile applications. 2 GB are provided for free, which can then be easily expanded to 16 GB.
  3. - now it no longer looks like a simpleton compared to competitors, but nevertheless, when I posted some for download on Dropbox, they were blocked after a while, because excessive traffic was created. In Yandex, these same courses are still available and no complaints have been made about the heavy load. Here you can get 10-20 GB of free space in the cloud for free.

5 reasons to store files in Google Cloud

Google Drive also has its own features that force many potential users to choose this service.
  1. The main feature, it seems to me, is exclusively convenient online work with files(tests, tables, presentations, graphics, etc.). Much of this is due to legacy tools.

But the total number of file types (more than 30) that can be viewed in their web interface from any device (computer, laptop, tablet, phone) is still impressive.

What's noteworthy is that for those file types that Google Drive does not support, you can install an application from third-party developers.

  2. If we talk about disk space in the cloud, which this service provides free of charge, then everything is quite at the same level - 15 GB. However, you should keep in mind that this space is allotted to you not only for storing files in Google Drive, but also for storage, as well as for storage.

If you already have mail in this system, then the login and password from your Gmail mail will be suitable for logging into Drive.

If you don’t have a Google account yet, you will have to create one by clicking on the “Create an account” button shown. Everything is simple there - you need to fill out the fields, confirm your mobile phone number and start using it (you won’t be able to create an account without a cell phone number, alas).

Access to files and folders for everyone via the link

But personally, I’m generally more comfortable provide access via link by clicking on the button of the same name in the sharing dialog:

Why is this convenient? Well, not everyone has a Google account (although most do), and access via a link is like a bearer deposit - whoever has the link gets access.

In this case, you do not lose any opportunities. Even access rights You can assign the same functions to this file or folder - viewing, commenting and editing.

You can share individual files or documents, or entire folders containing them. Those who follow the link you sent will have the opportunity to either simply view these files or download them (if desired). In general, everything is as it should be in “the best houses in London and Zhmerinka” (other cloud services).

Shared folders are marked with a blue man when viewing a Google Drive folder on a computer.

How to remove a file or folder on your disk from sharing

To remove the ability to share some previously shared folders or files, you will need to go through the process described above again by clicking on the name of the user to whom access was granted:

In the window that opens, just click on the cross next to his name:

Google Drive Settings are quite primitive (to get into them, just click on the tray icon and select the corresponding item in the three-dot context menu that appears) and the only thing you may need is to log out of your account to log into another (there are 15 GB and there are so many same).

Oh yes. If you have a situation where the two of you use the same account in “My Drive” (my wife and I do exactly this), then it makes sense to check the “Synchronize only these folders” box so as not to waste time, space on your computer and traffic on synchronization of “other people’s” files you don’t need.

Online version of “My Disk” and miraculous recovery

Let me remind you once again that the Google Drive web interface is available at drive.google.com. Naturally, it is possible from there, and not just from a computer through the program described above. To do this, there is a “My Disk” button located at the top left with a down arrow (with a spoiler).

Actually, in the download window that opens, find the necessary folders or files on your computer, after which a window opens in the lower right corner indicating the download process.

In the Google Drive web interface, you can perform certain actions on the objects available there using the context menu(appears when you right-click on a file or folder). What’s remarkable is that the same menu is available when you select a file with the left button and click the button with three dots in the upper right corner (see screenshot below).

The sharing option we have already discussed will be available there, as well as a number of other options that are not available in the desktop version of Drive.

This is, for example, version control, which I mentioned at the beginning of the article (appears only for objects that have changed). Google stores all versions of documents for a month and, if necessary, you can always access them. You can see them by right-clicking on the file and selecting the appropriate tab.

Let's say you wrote an article in Word and stored the draft on Google Drive. At a certain stage, a fragment of text was accidentally deleted, and only a few days later they died. Most likely, you will not have another option for restoring what you lost (unless you use it).

Voila! In the menu of the desired version of the document, click on the “Download” button and your precious information is restored.

You can also use Google Cloud access those folders on your computer, which you chose to back up when you installed Backup & Sync.

All these file folders are available on the tab "Computers" from the left menu of “My Drive”. In principle, you can connect as many computers as you like to one account and all the data from important folders will be available to you in the cloud:

The folders of this particular computer are opened by double-clicking on its name:

A very convenient thing, which, coupled with all the other advantages of the Google cloud, can tip the scales towards using this particular storage service.

On the tab "Available to me"(from the left menu) you will find all the files and folders that other users of this cloud have shared with you (provided access to view or edit). It’s also very convenient, you’ll agree.

Settings You will find the appearance and functionality of the online version of Google Drive in the upper right area.

There you can change the display of files (list or previews), see the shortcut keys for convenient work with the application, and also see a rather meager set of settings hidden behind the menu item of the same name.

If something remains unclear, here is a video to help you:

Online office from Google based on the My Drive service

As I already mentioned, Google Drive is not just a place to store important data and quickly access it. This is also online office, although not as sophisticated as SkyDrive, but still quite universal and with the possibility of expanding its functionality through third-party extensions.

This means that you can not only store objects in it, but also create or edit them. To create a new file Use the button of the same name in the upper left corner, or the drop-down menu of the “My Drive” button.

As you can see, it is possible to create a new text document in an online editor (opens in a new window), a new table in the style of Excel, a new presentation (ala PowerPoint), a new form, or a drawing in the built-in graphic editor or an external one, which I’m talking about I have already written in some detail.

Impressive, isn't it? If these options are not enough for you, then click on the button located at the very bottom "Connect other applications" to expand them. In the window that opens, you can read the description and, if desired, connect the application you like.

For example, I chose the Pixlr Editor, an analogue of online Photoshop that is well known to me. Now I have added a corresponding item to the “Create” button menu, after clicking on which I will first have to give permission to this application to access my Google Drive so that it can save the picture I edited in Pixlr there.

Some of the documents created in Google Drive can be embed on your site. It’s quite difficult for me to imagine why this might be needed, except perhaps to add a form to receive some information from readers. Or, for example, you can display the contents of electronic documents on the pages of your blog.

On the page that opens, click the “Start publishing” button, and then in the lower area of the window, select “Html for embedding in the page” from the drop-down list. A code will appear below, which will need to be inserted into the desired place on the web page.

Actually, using the table as an example, it will be possible to show another feature of Google Drive (Docs) - document sharing. A little earlier we looked at examples of file sharing and were somewhat surprised at the complexity of this process. These complexities were precisely what was needed to implement shared access.

So, again from the “File” menu, select the item "Sharing", after which a window that is already familiar to us will open, where you will need to add the name or email address (in Gmail, of course) of the user with whom you plan to work together on the document. There you can open access via a link. If you forgot what this is, then scroll up the article to the description of access to files and folders.

In addition, you will need to indicate his rights and capabilities for working with this document by selecting one of the options from the drop-down list - editing, commenting, viewing. The difference between them is significant, so read the instructions before making a decision.

    Google Drive for mobile devices

I used the application for Ipad and Android in my work, and in general it did not cause me any complaints. Some types of files can be edited directly in this application, although doing this on a phone is not so convenient by definition.

The application does not have many settings (the transition to them is at the very bottom of the menu shown in the previous screenshot), but among them there is, for example, setting up a backup copy of your phone’s data to the cloud.

In addition, it is possible to automatically synchronize videos and photos with a folder in the cloud (or Google Photos).

It's good that there is an opportunity view files offline. As you understand, when working with Google Drive and any other cloud from a mobile device, no one will upload the entire contents of the “My Drive” folder to it (this is done only on desktop computers and laptops).

However, so that each time your gadget does not waste Internet traffic viewing the same photos or files (which do not change), you can save them in the memory of your mobile device. In the mobile version of Google Drive, this is achieved by moving the engine "Offline access" to the active position.

There you can, if you wish, activate access to the file via a link or joint editing of this document, perform all sorts of actions on it (delete, move, rename), and also open the file in another application installed on your gadget.

To sum it up, then Google cloud impression good. Previously there were complaints, but now all the flaws have been removed. It turned out conveniently, massively and virally. I now use this cloud along with Dropbox, although in the latter I still took a paid plan.

Good luck to you! See you soon on the pages of the blog site

Today, cloud storage has become almost the most reliable and secure way to store files and important information. If earlier few people knew, and those who knew were afraid to use cloud storage as a place to store personal important information, then in modern times each of us knows that this method of storing data is one of the best.

Google has created an excellent solution, its own cloud storage called Google Drive. And this particular storage can be called one of the best, since in addition to the usual file storage, we also have access to a number of other very useful functions.

What is Google Drive? This is not only a cloud where you can upload your files. Using it, we get the opportunity to open files of any format in the browser, for example, to quickly edit Word, Excel or Power Point files, you do not have to download them to your computer and upload them back to the cloud after making changes. Everything can be done directly in the cloud using the built-in tools of Google Sheets, Documents, Presentations.

Google Drive also provides access to your files at any time and anywhere in the world, since you have at your disposal not only the web version. Google has developed a large number of applications that will help you manage your files in the cloud from any smartphone, tablet and on any operating system. All applications are completely free and available in all popular application stores.

Using this particular cloud, you get the opportunity to create shared access to files and folders so that other users can view, edit and download your files. To do this, you just need to send an invitation.

There should be enough space on the cloud for you, since Google Drive provides 15 GB of free space for storing photos, drawings, text documents, tables, video files, audio files and much more. But if this is still not enough for you, you can purchase a subscription and use as much space as you need.

How to use Google cloud (web version)?

In order to access your own cloud storage, you need to have a Google account. Everyone who has registered mail using the Google service has 15 GB of cloud storage at their disposal.

If you do not yet have a Google account, then you should follow the link and register.

If you already have an account, then you need to go to the Google Drive website and enter your data in order to gain access to your cloud.

Here you can create and monitor all your folders and files.

In order to upload information to Google Drive, you can simply drag the file or folder you need into the browser window or click on the “My Drive” item and select the “Upload files” section in the drop-down menu. After this, you will be able to upload files to the cloud.

To download information from the cloud, select the file or folder you need and then click on “Other sections” (3 dots in the upper right corner) and select “Download”. After this, the files will begin downloading to your device.

To edit the color scheme

Working with files in the cloud

To work with Microsoft Office files, you won't need to download them. All files of type , xlsx, txt, pdf and others are available for editing directly in the web version of the storage (via a browser). To open such a file, simply click on it 2 times with the left mouse button, or through the context menu.

To save files to the cloud, you just need to select and drag them into the browser window.

To create a file or folder in the cloud, you need to click on the “Create” button, which is located in the upper left corner and select the type of file or folder. Here you can select the “Upload file” item.

It is worth noting the very useful functions of Google Drive:

  • Saving a history of changes to files or folders with the ability to restore previous versions that you made previously. File history is stored for 30 days. When sharing a file, you can view the editing history and find out who exactly modified the file or folder. To view the history of a file and restore previous versions, you need to open “Properties” and go to the “History” tab.
  • File types that Google Cloud supports. The total number of types is impressive and is constantly growing. More than 30 types of files are available as standard, which Google Drive allows you to edit and view directly from the web interface on any device. What's great is that for file types that Google Drive doesn't support, you can install third-party apps. To install additional applications, in the “Create” menu, select “More” and then “Connect other applications”. Other applications are installed as browser extensions. It is best to use the Google Chrome browser to work with Google Drive, since all extensions that offer installation are available from the Google extension store.
  • The cloud disk space that the service provides for free is 15 GB, which is quite a lot. But it’s worth considering that this space is allotted to you not only for storing files, but also for storing email messages and attachments in Gmail, as well as Google Photos (if you use this function). Google also offers to expand disk space, for this you need to sign up for a paid subscription.
  • Sharing. This feature is useful because you can grant access to view or edit a file to certain people or to everyone who has a link to this file. This way you can start co-editing or viewing a specific file. This is useful because you don’t have to send the same file to different people, wait until they edit it, send it back and you will need to compare it all, you will just need to make a link and send it to everyone who needs to give access. You don't need to have a Google account to edit a file.

Installing Google Drive on your computer and working with it

To download and install the program, you can go to the main page of Google Drive and click on the “Download” menu item, or follow the following link: https://www.google.com/drive/download/

After downloading, run the installation, during which you will be asked to log into your Google account so that the application can access your cloud storage and synchronize files and folders on your computer with it in the future.

During installation, you will be asked where to place the Google Drive folder, as well as files and folders that will be synchronized with your computer. By default, the folder location will be determined in the user folder on the system drive.

After installation, you will see the Google Drive icon in the tray (bottom right corner of the screen). In the future, you can make all the application settings by right-clicking on this icon and selecting the desired action in the drop-down menu.

Once the installation is complete, you can launch the application, after which it will begin downloading files from the cloud to your computer. When you first launch the program, you will be given a choice of which folders and files to synchronize with your computer.

Granting access rights

To provide access to a folder or file and copy the link to the clipboard, you just need to open the Google Drive folder and right-click on the required object, then select “Google Drive” from the drop-down menu, and then the required action.

Such a menu item will be added only in the explorer context menu, so when using, for example, Total Commander, it will no longer be there.

My device Computer

At this point, you can select folders on your computer to synchronize with the cloud or change the current folders that save files to Google Drive.

You can also configure the deletion settings, namely, allow synchronous deletion of files. When you delete a file from a folder on your computer, the file will also be deleted in the cloud; this option can be used to allow or block the deletion of cloud files.

You can also configure the option to automatically save from USB devices and SD cards, which will automatically upload all files to the cloud when such devices are connected or detected.

Google Drive

At this point, you are given the option to select or change the location of your main Google Drive folder.

You can also select folders that will be synchronized with the cloud; to do this, check the boxes next to the folders you need. All folders that you do not select will not be saved on your computer, but will remain on the cloud and will be available in the web version.

Settings

Here you can configure the display of notifications when deleting objects from shared folders, namely disable or enable them. Also activate the option to automatically turn on the application when the system boots and visualize the synchronization status using icons.

In the network settings, you can set speed limits for downloading and uploading information to the cloud.

Google Drive for mobile devices

The cloud provides access for different mobile devices. You can download the Google Drive app from the app store.

The application has a useful feature - it automatically saves photos from the device. This option can be configured to automatically save photos to Google Drive whenever you are connected to the Internet, or only when connected to a Wi-Fi access point. This feature is very useful, because if your device is lost or broken, all your photos will be saved and available to you on the cloud, from where you can download them or share them with other people.

The application on phones has a search bar with which you can quickly find the files you need. To edit files, you can use the web version of Google Drive, optimized for mobile devices. To edit files, you just need to select the desired file in the application, after which it will automatically open in the browser on the page for editing.

Conclusion

Google has turned out to be a pretty good product. Google Drive is one of the popular cloud storage services and is suitable for many. An inherent advantage and privilege over other similar storage facilities is the ability to edit files directly from the web version, which saves time. It is also worth understanding that the product is constantly updated and within a short time the developers have eliminated a large number of shortcomings, this confidently leads Google Drive to first place.

Reader Sergey asked how to open access to Googke Disk to a user, for which I thank him very much, since every little detail is important, and if you forget about it, it is impossible to properly use the available capabilities. The user who gained access to the created document could not edit it. Therefore, I went through testing again.

The first thing you should pay attention to is that it is still advisable to use Google products in its native Google Chrome browser. Although all browsers are democratic in relation to each other, and the file created in Opera allowed itself to be opened through the “File – Open with” command for editing. I suspect that in order to save resources when sending access to a link, mail managers convert Excel to Doc. All images are clickable.

For those who are familiar with mathematics at least in elementary school, it will be clear that behind everything we encounter on a computer or on the Internet there are combinations of numbers that can change, but the result will be the same, for example:

  • 3 + 3 = 6
  • or 3 * 2 = 6
  • or 2 + 2 + 2 = 6
  • or 10 – 4 = 6.

I give these simple examples for one purpose, so that everyone can understand and remember that there are always several solutions. This also applies to the paths (commands) by which we can call any program. Now let's start from the beginning. Here I will show one way to open access to joint documents. The disk is loaded, the file is created. Open the disk on the Internet:

By clicking on the plus sign, we can create a new document. To allow another user to work, it is not necessary to open the document itself. Just check the checkbox next to the desired file. Functions for the necessary actions immediately appear.

Now, by clicking on the plus sign highlighted in the picture, we get a window into which we can enter all the addresses of users to whom we give access to collaborate with the file.

As you have seen for yourself, if you paid attention to the icons at the top, you can use not only e-mail addresses, but also accounts on social networks. We'll try that later.
